Consortium Agreement Information for Students

A consortium agreement is a written contract that enables a KU degree-seeking student to pursue coursework at two institutions simultaneously. Under such an agreement, KU will serve as the “home institution” and will process aid based on total hours of enrollment at KU and the host institution.

A consortium agreement may be possible when one of the following conditions is met:

  1. The course is required for the student’s degree at KU and not offered at KU for that specific term; OR *
  2. The course is required for the student’s degree at KU and the course is full; OR *
  3. An academic advisor recommends the student take the course at another institution because the coursework will enhance the student’s degree and provide valuable preparation for the student’s chosen profession.

*Note: Electives generally are not approved for condition '1' or '2' since there are typically a variety of electives that can apply toward a student's degree.

If one of the conditions applies to your situation, you may complete and submit a Consortium Agreement Request form. You must also follow the standard procedures for obtaining federal financial aid (filing the FAFSA, accepting aid, and completing all necessary paperwork, including any applicable promissory notes). Upon approval, the KU OSFA will create a consortium agreement and forward it to the “host” institution.

Administrative Fee: If a consortium agreement is approved, a fee will be applied to your student account.. Students are notified by email on or about the 21st of each month when a new eBill has been generated Charges are due by the date indicated on the applicable eBill.

Cost of Attendance: Your estimated cost of attendance will be determined by the total hours of enrollment and educational expenses incurred at the “home” and “host” institutions.

Award Eligibility: If you have already accepted financial aid at KU, awards may be adjusted upon receipt of a consortium agreement contract. Your total hours of enrollment will be considered when calculating eligibility for federal student loans, grants, and work-study. Please note that some institutional awards may require a specific number of hours of enrollment at KU (i.e. University scholarships, KU Tuition Grant, Edwards Campus Tuition Grant, other departmental grants, etc.).

Disbursement of Aid: Excess financial aid is typically available for the first time each semester during the week of the first day of classes at KU. If your financial aid file is incomplete and/or the consortium agreement has not been processed completely by this time, you will not be able to receive funds until your file is complete and your aid is fully processed. No funds can be disbursed to you in advance. Therefore, it may be necessary for you to pay tuition and fees at the “host” school prior to receiving your financial aid from KU.

You are encouraged to complete the Direct Deposit Authorization form, which allows financial aid, scholarships, and/or other credit balances to be electronically deposited into your bank account. This is an easy and convenient way to receive a credit balance refund. You may complete the form online in Enroll & Pay at https://sa.ku.edu  (Student Center>Finances>Set Up Direct Deposit). If you do not authorize Electronic Funds Transfer (EFT), you will receive any excess financial aid in the form of a paper check mailed to your billing address. If you have questions about direct deposit, please contact the Bursar’s Office at 785-864-3322.
